We know that your housing selection, while at RWU, is very important to you. Please take the time to thoroughly read this guide to assist you in making your housing selection for next year. As you read through, if something does not make sense, or you would like further clarification on an item, simply contact your RA, your Coordinator, or the Housing Office (254-3161). Remember it is important that you thoroughly understand the housing selection process in order for you to make the best informed housing selection!

How to Search and Select a room

Introduction

Before you can participate in the Housing Selection process, you must complete two important steps:

Step one - Housing Deposit payable online at https://rwu.afford.com 
Under the "Make a One Time Payment" option, select "Returning Student Deposit."

How to make a Housing Deposit online.

Deposits are due as follows:

  • Current 1st year student and current sophomores are due by Friday, February 9, 2018
  • Current Juniors & Seniors due by Friday, February 16, 2018 

There is No Refund of this $350 housing deposit once a space is assigned or reserved though the housing selection process or by the Housing Office.

If a student withdraws from housing for any reason including but not limited to judicial or academic suspension, transferring, etc., anytime before or during the academic year, a Housing Cancellation Fee of $350 will be charged to your account. If a space is not reserved or assigned, this deposit will remain on your account and will go towards any outstanding balance

Step two - Be Financially Cleared
You must be financially cleared by Friday, February 16, 2018. Financial clearance means that you do not have an outstanding balance on your student account. You will not be able to complete the any portion of housing selection if these two steps have not been completed.

**Confirmation of housing deposit payment and financial clearance will be checked before a selection is made**

PLEASE NOTE: Students who do not select a room during the Housing Selection time period  will be placed on a waiting list and assigned to any remaining spaces, including temporary assignments, after all new students have been placed.

Students are financially responsible for the entire academic year after a housing selection is made. Students do not just lose the $350.00 deposit should they move off-campus.

Student's living in traditional halls are required to be on a full meal plan. Meal plans are not required but are optional for those areas designated as apartment style (Bayside, Almeida, or the apartments in the North Campus Residence Hall). Please refer to the Campus Dining page for more information.

Time Line At A Glance

  • Step 1 - Make a $350 housing deposit on-line at https://rwu.afford.com/, then under the Make a One-time Payment Option, select Returning Student Deposit from the pull down options…and proceed from there.
    • By Friday, Feb. 9, 2018 - Current Freshman & Current Sphomores
    • By Friday, Feb.16, 2018 - Current Juniors & Seniors
  • Step 2 - Deadline to have any holds removed from account – no later than Fri., Feb. 16th Bursar, Conduct or Housing holds can be viewed through student’s MyRWU (View My Restrictions)
  • Step 3 - Declare Housing Intent online any time between Friday, Feb. 9th 8AM - Thurs., Feb. 22nd 4PM Student electronically signs/agrees to the RWU Housing Contract for the upcoming academic year, which informs the system of “Intent” to participate in the on-line Housing Selection process.  This is completed by simply checking the box that the student has read, and agreed to the information.  Completion of this step will later prompt the system to assign a lottery number and selection time to each student (based upon completed course credits and Merit points accumulated by the end of Winter Intersession).    
  • Step 4 - Students Receive notification about Lottery Number Date & Time -Monday, Feb. 26th   (viewable through  myRWU  portal)
  • Step 5 – Select a room during one Housing Selection process listed below – Feb 28th through        March 24th  
    • Continued Occupancy (C.O.) – Wed. February 28th anytime between 8AM - 7PM Students with 33 credits or more may continue to live in their current space & carry friends in
    • *SAS approved Accessible Housing Selection:  Mnday, March 5th
    • Supersize SelectionTuesday, March 6th (Specific information provided via email)
    • *Almeida Twnhouse Selection:  Tuesday, March 6th

  • YOU MUST CHECK YOUR STATUS AFTER YOU COMPLETE ANY PROCESS. GO TO THE “HOUSING LOTTERY STATUS” TAB ON THE LEFT TO CONFIRM THAT YOU ARE PROPERLY SIGNED INTO THE ROOM. It updates immediately there is not time delay. If the room you selected does not appear then you did not complete the process. Remember the university recommends specific browsers PC: Internet Explorer (IE) 5.0 or later or Netscape Navigator (Netscape) 7.0 or later. Super Size Your Room

Can't seem to find a room/apartment big enough for you and all your friends? Then Super Size It!!! Add a person to a room or apartment! Looking for a 5-person Bayside apartment? Then add a person to a Quad. Looking for a triple in Stonewall or Baypoint? Then add a person to a double Based upon spaces available at C.O. or empty rooms/apartments at Lottery.  A certain number of rooms in each living area will be pre-offered before the on-line housing selection begins.  Specific times for each building will be sent to students via their email.   

Students that supersize an apartment/room during the housing selection process will have 48 hours to turn in a supersize agreement to the Housing office. If an agreement is not received within 48 hours, the student's selection may be cancelled. Each resident of the shared room/bedroom will receive a $750.00 discount for the semester and those sharing the apartment will receive a $100 discount for the semester. A lofted furniture system (lofted bed, dresser, desk & chair) will be added to the room/bedroom. Baypoint double beds will be changed to the twin x-long beds (Please note that double beds will not be avaialbe should a Baypoint room become de-supersized during the academic year)

Please note that we do expect to be at full capacity for the fall semester. Should a conflict arise, a room change may not be possible. However should spaces open and a resident move out of the "Supersize" option, then all residents will have the discount prorated. Speak with the Housing Office for more information.

If it is determined that the Supersize process is being completed in an effort to manipulate the housing selection process (I.e. the student who CO's/selects the room/apartment withdraws, etc.) then the entire room/apartment may be relocated in any available space(s) after the housing selection process concludes.

Can I move off-campus for my Junior year and then come back into university housing for my Senior year?

No - Once you become a commuter (not in University Housing) you can not participate in future Housing Selection processes. Those students that would like to return will be wait-listed and placed during the summer should space become available.

Self Proposed Living Learning Communities Information/Applications

Living Learning Communities (LLC's) are designed to help students come together with others who have similar interests. A very exciting aspect of LLC's are the involvement of selected faculty and staff in each of the theme unit. These individuals will serve as Faculty Mentors for each unit. Additionally, funds will be made available to help with the costs of some programs.

Self Proposed Living Learning Communities - Students can develop their own LLC for either North Campus Residence Hall, Maple Hall or Stonewall.

Applications are available in the Department of Residence Life & Housing. Applications are due to the Department of Residence Life and Housing no later that 4:00 PM on Monday, January 29, 2018. 

Declaring Housing Intent

Declaring your housing intent is stating on-line that you wish to participate in the housing selection process and agreeing to the housing contract. ONLY THOSE STUDENTS WHO HAVE PAID THE $350 HOUSING DEPOSIT, ARE FINANCIALLY CLEARED (NO OUTSTANDING BALANCE ON THEIR STUDENT ACCOUNT), AND DO NOT HAVE ANY HOLDS ON THEIR ACCOUNT, WILL BE ABLE TO DECLARE THEIR HOUSING INTENT.

If students do not declare their housing intent during the designated period, they will not be eligible to receive a lottery number and they will not be able to participate in any portion of the housing selection process. These students will be wait-listed for housing and placed in any spaces that may remain after new students are placed. These spaces could include temporary accommodations.

On-Line Continued Occupancy (C.O.)

Students who want to remain in their same room/apartment for next year complete this process. Students log-on to their MyRWU account, click on the "Services Tab" then click on "Housing Lottery Search", select their same room/apartment and carry in any new residents (see Friends of CO Below). Students must have their ID # and their Lottery # to be able to complete the CO process.

*ONLY THOSE STUDENTS WITH 33 CREDITS OR MORE MAY CO THEIR CURRENT SPACE.

C.O. disagreements between roommates are determined by lottery numbers.

If the room/Apartment is not filled at C.O., the space(s) will be the first occupied at Housing Selection.

If it is determined that the C.O. process is being completed in an effort to manipulate the housing selection process (I.e. the student who CO's the room/apartment withdraws, etc.) then the entire room/apartment will be relocated in any available space(s) after the housing selection process concludes.

On-Line Friends of C.O.

Friends of C.O. is the time when you can bring new roommates into the room/apartment that you are COing. Only those students with 33 credits or more can be carried into an apartment area (Bayside North Campus Residence Hall Apartments or Almeida). When you are signing up you will need your roommates ID # and Lottery # to be able to sign them in. REMEMBER - ONCE YOU COMPLETE THE CO PROCESS, YOU HAVE COMPLETED THE SIGN UP PROCESS AND THERE ARE NO CHANGES (i.e. you can not participate in lottery to see if you can get a better room)

If it is determined that the C.O.and Friends of C.O process is being completed in an effort to manipulate the housing selection process (I.e. the student who CO's the room/apartment withdraws, etc.) then the entire room/apartment will be relocated in any available space(s) after the housing selection process concludes.

Displaced Students

If this process applies, students will receive a separate email.

After the C.O. process, students whose rooms are being converted to a different occupancy (i.e triple to a double, a double to a triple, single to a double) or an area is being converted to another gender or accommodation “displaced students” will be able to select a room at this time. In most cases, residents will be informed in writing.

Students can log on to their MyRWU Account and complete a search to see what spaces are available any time during the Lottery process.

On-Line Lottery

YOU MUST CHECK YOUR STATUS AFTER YOU COMPLETE ANY PROCESS. GO TO THE “HOUSING LOTTERY STATUS” TAB ON THE LEFT TO CONFIRM THAT YOU ARE PROPERLY SIGNED INTO THE ROOM. It updates immediately there is not time delay. If the room you selected does not appear they you did not complete the process. Remember the university recommends specific browsers PC: Internet Explorer (IE) 5.0 or later or Netscape Navigator (Netscape) 7.0 or later. MAC: Internet Explorer 5.0 or later or Netscape Navigator 7.0 or later.”

Important Information to remember...

  • Remember, you must pay a housing deposit, as outlined above in Time Line at a Glance, AND be financially cleared (no outstanding balance with Bursar hold),  and declare your housing intent online in order to be eligible to make a housing selection. SPACES WILL NOT BE HELD.
  • You will receive important housing selection information via your university email account. You can get your Lottery Number and Appointment Time under the "Housing Selection Tab" tab located in your MyRWU account.
  • Your appointment time and lottery number will be computer generated based upon your completed credits at the end of Winter Intersession, and the amount of merit points that you have accumulated according to university records. This means that residents who are going to be Seniors will choose first, then Juniors, then Sophomores.
  • If you know the person or persons you want to live with, you will sign-up on-line together (as opposed to going through one by one) to select the room/apartment in which you would all like to live. You will all be allowed to sign-up on-line with the person who has the best (lowest) Lottery number. Only those students with 33 credits or more can be carried into an apartment area (Bayside North Campus Apartments or Almeida)
  • YOU MUST CHECK YOUR STATUS AFTER YOU COMPLETE ANY PROCESS. GO TO THE “HOUSING LOTTERY STATUS” TAB ON THE LEFT TO CONFIRM THAT YOU ARE PROPERLY SIGNED INTO THE ROOM. It updates immediately there is not time delay. If the room you selected does not appear they you did not complete the process. Remember the university recommends specific browsers PC: Internet Explorer (IE) 5.0 or later or Netscape Navigator (Netscape) 7.0 or later. MAC: Internet Explorer 5.0 or later or Netscape Navigator 7.0 or later.”
  • If it is determined that the on-line selection process is being completed in an effort to manipulate the housing selection process (I.e. the student who selecting the room/apartment withdraws, etc.) then the entire room/apartment will be relocated in any available space(s) after the housing selection process concludes.
  • If you are unable to go on-line together, that is alright. You will just need to give your ID # and Lottery # so the person can sign you into the room/apartment. If you have the better Lottery number they you must also give that person access to MyRWU account.
  • Please refer to room rates page before selecting a room/apartment and remember that singles cost additional money.
  • I want a single room is there anything special I need to do - When it is your appointment time complete the search by looking for single rooms. It's that easy.
  • REMEMBER THAT ONCE YOU SIGN INTO A ROOM/APARTMENT, THAT IS THE ROOM/APARTMENT YOU WILL BE IN FOR THE ACADEMIC YEAR - AS YOU HAVE AGREED TO THE HOUSING CONTRACT FOR THE ENTIRE ACADEMIC YEAR (you can not just move off campus)

Partially filled apartments or rooms
If an apartment/room is not at full occupancy after the CO process, this space(s) will be the first occupied at Housing Selection. Students who are looking for one space or going through housing selection on their own will not be able to sign into a completely empty apartment/room as long as there is a similar space available in a partially occupied apartment/room. The same is true for a group of students that are not completely filling a room/apartment.Students are directed to these partially filled rooms/apartments.(e.g. one Junior C.O.’ed into a Bayside apartment by himself because his three roommates graduated - three male students are looking for a bayside apartment – they will automatically be directed to this apartment.

Smoke-free

Please note that all residence hall rooms and apartments are smoke-free. Residents who smoke in the residence halls will be referred to the Student Conduct Office which may result in educational and punitive sanctions. Smoking is only permitted in designated gazebos.

If you are unable to make your Housing Selection appointment

  • All you have to do is give a friend your ID #, Lottery # and your appointment time and they will be able to complete the sign-up.
  • If you are not living together or you have the better lottery number then you must also give them access to your MyRWU account.
