Transcript Request - New Transcript Ordering Process

Roger William’s University has partnered with the National Student Clearinghouse to deliver a more efficient and serviceable method of transcript ordering, delivery, and tracking. You can now send official transcripts to your recipients via email and receive email updates on your order  which you can track online. In addition,  you can attach documents with your transcript during the ordering process. This process meets compliancy with all published guidelines of the Family Educational Rights and Privacy Act (FERPA), which protects students' privacy rights in their education records. Note: You will be required to enter your Social Security Number or Student ID accurately. A incorrect number could prevent your transcript from being sent.

Types of Transcripts

  • E-transcripts: Completed on-demand at low cost of $5. Choosing paperless official e-transcripts is the efficient way to request and send your transcript using a secure method to provide your academic history when needed. This service is available to students enrolled subsequent to 1991 and allows you to supply the recipient’s email and have your official transcript sent as a secure electronic document. E-transcripts reduce processing time, mailing delays, and delivery concerns.
  • Official Paper Transcripts Prior to 1991 only : Completed within 5 Business days – $5. Students enrolled prior to 1991 must order paper transcripts. All orders must be completed online. Paper documents include signature and are imprinted with the University’s seal; sent directly to the intended recipient or another education institution, official agency, potential employer.
  • Unofficial: Independently created by enrolled students via  MyRWU for personal use; the document is not signed by the registrar nor imprinted with the University’s logo or seal. Students sign into the student portal to produce unofficial transcripts. The Office of the Registrar does not provide unofficial student  transcripts

Note:  Students in need of a quick, on demand, pdf solution for submitting  their academic information should use the etranscript  format . The Office of the Registrar does not e-mail or FAX student transcipts .


Placing your Order

  • Hold for Semester Grades: Students who wish to have their transcript held until final grades have been posted may do so by selecting that option when completing their request; Submit a Transcript Request
  • Hold for Degree Posting: Students who wish to have their transcript held until their degree is posted may do so by selecting that option when completing  their e-transcript request.  Please keep in mind, all degrees according to Federal Reporting Guidelines must be posted to students academic record within 30 days after the last day of class ( last final exam) for the semester. Degrees are conferred in May, August and December; to calculate the 30 day timeline refer to the Academic Calendar located on this site; Submit a Transcript Request
  • Verifying a Change of Grade: Students who are anticipating a change of grade prior to submitting a transcript request are urged to confirm the  grade has been changed via their MyRWU portal; no refunds will be processed if the anticipated grade has not been submitted by the professor at the time the request is made.
  • Transcripts  prior to 1991:  All transcripts prior to 1991 are generated by the Office of the Registrar and will not be delivered electronically. Requests must be submitted and paid for using the National Clearing House website, but will be completed  and delivered  within 3-5 business days by the Registration Coordinator at RWU.

* Note: Electronic transcripts are intended to be delivered directly to other institutions/companies for one time use. Printed copies of these transcripts display the word "COPY" over the entire page.

**Note: Confirm the e-mail address prior to submitting a request, incorrect information will delay your request.  Access to the electronic transcript will expire 30 days after it’s been created.

Security and Log-in Information

  • The recipient will receive the login and password needed to open the transcript in two separate emails. The first will include a link and username. The second will include a unique password. Click the link provided to you in the first email.
  • The login and password will be always required to open the transcript document. It is important that the user save the login and password information for future reference. If the login information is lost, recipients must contact the National Student Clearinghouse directly to obtain the information.
  • Enter your email address and the password provided then download the electronic PDF transcript. Transcripts can only be viewed within 30 days of receipt. Although the document is only available for download for 30 days, it can be printed.

Transcript Authenticity

  • RWU is now sending student  transcripts in an electronic PDF format and are considered official documents
  • Submit a Transcript Request
  • The official transcript displays a blue ribbon on the notification bar across the top of the Adobe Reader. Older versions of the Adobe reader may display the blue ribbon as a pop-up screen and in the lower left corner of the frame of the application. The blue ribbon symbol is your assurance that the digital signature is valid, authentic, and the contents of the document have not been altered.



Standard Delivery Transcript - There is a $5 fee for each transcript

Overnight Delivery Transcript - Continental U.S. overnight delivery is available Mon.-Thurs. only for $17 (includes the transcript fee plus a $12 delivery charge). International rates vary.

*Note: Overnight orders must be entered through the National Student Clearinghouse site by 12:00PM EST (Eastern Standard Time) in order to be processed same-day. Those orders not completed by 12:00PM will be processed on the next business day and therefore impact overnight delivery. Overnight delivery option does not include Saturday delivery.



  • A message will be generated at the time of request if a student has a hold on their academic record. The message will contain the type of hold and contact information to resolve the hold; upon resolution the           e-transcript will be released..
  • Students have 30 days to resolve their transcript holds, unresolved  holds will result in the cancelation of the transcript order


Unofficial Transcript

Available to Current RWU students  by logging into their myRWU portal using the following procedure

5. Select Transcript  under the Academic Profile Menu

Former RWU students who no longer have access to their myRWU portal  do not have access to a copy of their unofficial transcript are directed to  the National Clearing House site using the following link.

  5. Follow all instructions on the National Student Clearinghouse (NSC) site to request a transcript

Track your Transcript Order

Enter the order number from the confirmation email and the email address you used to place the order.

On the Transcript Order Welcome Page, find the “Track Your Order” box on right-hand side.

Events in bold red type will indicate action required you need to take before the Registrar’s Office can proceed with your request. The Clearinghouse will email you notification of each of these events.



RWU has partnered with National Clearing House  and now provides  an online ordering service for all RWU transcripts 24 hours a day, 7 days a week. This process offers the expediency of credit card payment, you will be sent e-mail notifications as orders are received and processed.

This site provides step-by-step information to assist you with placing your order, along with delivery options and fees. Completing the consent to release form is required and must be returned to NSC before orders are processed and credit cards are charged. To preserve confidentiality and to comply with federal regulations when using the Internet, you must authenticate yourself. Alumni and students electing the online service are presented with the consent to release form. You are instructed to print the form, sign and fax it to the Clearinghouse before your order can be completed.

Types of processing options for requesting transcript

Submit a Transcript Request

Process now – providing no university holds exist, request will be fulfilled immediately

Hold for grades – request is held for processing until after semester grades are posted

Hold for degree – request is held until  degree is posted

Hold for pick up – request is processed but not printed until the requestor visits the registrar’s office in person. The requestor will receive an e-mail notification the transcript is ready to be picked up; a valid photo ID is required at the time of pick-up

Mail Option  Available Prior to 1991 - USPS first class mail. Transcripts are produced 3 to 5 days after receipt of your order and updates are sent to the requestor each time the status changes. Allow another 5 to 7 days for your transcript to be delivered via United State Postal Service.

Electronic - Requestors now have the option of receiving their transcript as a PDF file via a secure online platform provided by the National Student Clearinghouse. Like a paper transcript, the electronic version is official and can be sent to anyone with a valid e-mail address

Overnight delivery - if you require special, expedited handling we offer overnight service (request must be received and consent form returned to National Student Clearinghouse by noon in order to process). Please see the cost section.

The transcript is a record of all academic courses attempted at the University, it is not possible to segregate or omit  individual courses or semesters

What is an eTranscript?

A certified PDF of the official transcript with built-in security features such as technology which will confirm the validity when opened. Recipients of the official electronic transcript receive an email with instructions on how to retrieve the document from a secure web site. Official e-transcripts can be sent to any valid email address.


Do eTranscipts meet FERPA compliancy?

Yes. E- Transcript Ordering complies with all published guidelines of the Family Educational Rights and Privacy Act (FERPA),


What does an eTranscript look like?

The PDF looks like a paper transcript. Both types of documents contain identical academic information. The transcript key will be the final page in the e-Transcript that is sent rather than appearing on the back of each sheet of a paper transcript.


How to recognize an official eTranscript?

An E-Transcripts is official only when a blue ribbon appears at the top of the navigation page, the seal of the Roger Williams University appears, and the signature of the University Registrar appears.

Valid Signature

When the blue ribbon indicates that the document is valid, RWU ’s digital signature is true and authentic and the document’s contents have not been changed or altered in any way.

Invalid Signature

If the blue ribbon indicates that the document is invalid, then the document should be rejected. The invalid status could be due to several reasons, such as an inauthentic digital signature or an alteration to the document. In all cases, reject a document that is invalid.

Author Unknown

If the blue ribbon indicates that the validity of the document is unknown, make sure the computer has an active internet connection. If there is a properly working internet connection and the digital signature cannot be validated, reject the document.


Are e-transcripts accepted by all institutions?

No. Electronic transcript delivery is becoming progressively common and dependent on the institution. Prior to requesting an e-transcript, verify that the recipient will accept an electronic transcript.


How do I request an electronic transcript?

You will request your transcript online. Ensure to select 'Electronic PDF' under the 'Delivery Method' drop down menu.


How do I send an attachment with my transcript?

You will have the option to upload documents to be attached to your official transcript.


I submitted my order what is the next steps?

You will receive status updates via email as your order is processed. You may return to the transcript ordering system to see further information about tracking your shipment by clicking the My Account link. The recipient of your eTranscript will receive several notifications. First, they will be notified that an eTranscript has been released to them and that the document is now available for download. This message will include instructions on how to generate a passcode for the download. The passcode will be sent in a separate email which the recipient will then use to download the transcript. Reminder emails are sent to the recipient if the transcript is not downloaded. You will receive notification when the document is downloaded.


How do I download an electronic transcript?

You will receive an email notification that a document has been sent to you. One email will contain a link and a username. A separate email will contain a password. Click the link to go to the secure web site. On the secure web site, you will be required to enter your email address and password. Once the document is open, clicking on the PDF will bring up another pop up window requesting your username and password. Entering the correct username and password will provide you access to view the electronic transcript. Make sure you have your popup blockers turned off.


What do I need to receive an eTranscript?

You will need an email account, internet access, an up-to-date browser, and Adobe Acrobat software (free version).


How is the eTranscript delivered?

The recipient will receive two emails, an initial email notifying them the document is available. When they click the link in the initial email a second will be sent which includes the authentication information necessary to download the document.

NOTE: The addressee receives email with a link which allows them to download the transcript.


Will I get notified when the recipient has downloaded my electronic transcript?

Yes. You will be notified via email when the recipient has downloaded the transcript. You will also be notified if the recipient hasn't downloaded the transcript after receiving the email and more than two weeks have passed.


How will I be updated on the status of my request?

Status updates will be e-mailed to the requestor as the order is processed. Examples include when the request is received by the university (if National Student Clearinghouse request, after consent form is completed and submitted), if a hold is present on the student record, and when the transcript is sent/mailed. Requestors can also check the status of their requests through the National Student Clearinghouse website.


Can eTranscripts be printed?

Yes. Only limited printing of the transcript is allowed.


Can eTranscripts be forwarded to someone else?

Yes. The transcript will not be certified as valid for anyone other than the original addressee.

What if the eTranscript is never received by the Addressee?

Verify the email address that you provided; no transcripts will be resent due to incorrent entry of an e-mail address; transcript fees apply . Request the addressee to check their Spam or Junk Mail folder. Contact the Office of the Registrar at


How long does it take to get an e-transcript?

E transcripts are processed immediatiely, unless a hold has been placed on the students account, or incorrect information was entered at the time of the request.  Self-selected holds, such as waiting until grades or a degree is posted, will delay processing time.


I requested overnight mailing. How do I access the tracking number?

A tracking number will be provided to your online order, when your transcript is mailed.

How do I pick up a copy of my transcript?

When requesting a transcript, Select 'Hold for Pickup' under the 'Delivery Method' drop down menu. All orders can be picked up at the Registrar Office during business hours within 3 business days of original date requested.


What if I have a hold on my student record?

If you have a hold on your student record, your transcript request will not be processed until the hold has been resolved. Current students can view any holds via MyRWU student . To resolve Bursar Holds, please   contact the Bursar Office at 401.254.3520 or ; for all other holds, please contact the Office of the Registrar  at 401-254-3510 or .  It is the responsibly of the student to resolve all holds prior to the release of a transcript.

Can I request an official transcript in person or through mail?

Unfortunately no paper request will be accepted. Students may approach the counter at the Office of the Registrar and complete their request in person using the computer terminal at the student service counter. Students who no longer have access to the student portal are directed to   the online request form  by going to the National Student Clearinghouse.


I need my final grades for the semester reflected on my transcript. How do I make sure this happens?

When requesting a transcript online, make sure to select 'After Grades are Posted' under the 'Processing Option' drop down menu. If this option is selected and depending on the date of request, completion of the order may be delayed.


Can I get a refund if recipient of the Transcript never opened it?

Unfortunately not;  the fees for transcripts are non-refundable .


How can I be verify that my degree is posted and viewable on my transcript?

When submitting a transcript request , select 'After Degree is Awarded' under the 'Processing Option' drop down menu. Degree are posted in May, August and December.  According to Federal Reporting Guidelines all degree must be posted within 30 days after the last day of class ( last day of final exams) The Hold for Degree requests will be honored within the established guidelines.  Please refer to the Academic Calendar for


Why am I unable to order an eTranscript?

Check to see if there is a hold on your Account. View your holds within myRWU Student Portal. If you have any questions regarding your holds, contact the Bursar Office at 401.254.3520.


Why can't I open my eTranscript?

A password, which will arrive in a separate email once your order is placed, is required to open your eTranscript. Check your junk mail folder if you are missing either your transcript or your password email.

Confirm to see if you have Adobe Reader installed on your PC which is required to open your eTranscript. If you do not have it, you can download it for free here.

Check that you are not using a current version of Adobe Acrobat Reader on your PC, try uninstalling and installing the most recent version. If you do not have it, you can download it for free here.

How long does it take to process my transcript request?

If you are requesting your transcript to be mailed, the normal delivery method is through first class mail. Transcripts are produced 3 to 5 days after receipt of your order. Allow another 5 to 7 days for delivery via United States Postal Service. Transcript requests are not processed or mailed on days the university is closed (weekends/holidays). Requests received while the university is closed will be processed the next business day in the order received.

How will I be updated on the status of my request?

Status updates will be e-mailed to the requestor as the order is processed. Examples include when the request is received by the university (if National Student Clearinghouse request, after consent form is completed and submitted), if a hold is present on the student record, and when the transcript is sent/mailed. Requestors can also check the status of their requests through the National Student Clearinghouse website.

Why do I received an error when I selected express mail and provided a PO Box address?

This type of delivery method is NOT available to these types of addresses.

Why do I received an error when I selected express mail and provided a local RWU address?

Transcripts are produced and sent from the University in RWU, it is not recommended that you pay the additional cost for delivery to a campus address. Instead we recommend picking up the transcript or having it sent through standard mail.

Why do I received an error when I selected express mail and are sending your transcript to a department on campus or to an on-campus residence?

You will not be provided a tracking number for this type of request. These requests are delivered by our office the day they are produced. We will attempt to contact you to change your delivery method so you are not overcharged.

Why can I no longer view my eTranscript?

e-Transcripts expire 30 days after being created, not 30 days after being opened or seven downloads, whichever comes first.
