Receiving Merchandise

General

Large pieces of materials, equipment, and supplies which require special handling or unloading requirements are usually received at the Facilities Management building and delivered to the using department. Departments expecting large boxes, crates, machinery, etc., which will require special handling must provide a minimum of 48 hours notice to the Director of Facilities Management prior to arrival of the items.

All other packages are generally received at the University Mailroom; registered by mailroom staff and delivered to the user as quickly as possible.

Roger Williams School Of Law

All deliveries for the School of Law are made to the mailroom entrance. A 48 hour notice is required for all deliveries which require special handling or unloading requirements.

Collect On Deliver (C.O.D.)

It is the responsibility of the requesting department to insure that a check is on hand at the delivery point for all goods requiring payment at the time of delivery to the University.

Returning Merchandise

If the goods are found to be unacceptable, or the user wishes to return the merchandise, he or she should contact the Purchasing Office within two (2) work days after receipt of the goods so proper action can be taken

Most suppliers require some form of "Return Authorization" before any materials can be re- turned. Usually a control number, or a return authorization number, must be provided by the supplier and this number must appear on the outside of the container.

Goods which are received in damaged condition must be reported to the supplier within five (5) work days. It is the responsibility of the end user to notify the Purchasing Office so inspection of the goods by a professional investigator can be filed within the allotted time frame. The vendor will issue a return authorization after receipt of the inspector's report. Goods to be returned must be kept in the original shipping container.
